This policy explains how Tam Quang Minh Joint Stock Company (“TQM”, “we”, “us”) collects, uses and protects personal data when you visit tamquangminh.com, request a quote, contact us or apply for a job with us.

2. Data we collect

  • When you request a quote or contact us: your name, company, country, business email, WhatsApp or phone number, product interest, estimated volume, target price, Incoterms, timeline, project details and any drawings or photos you choose to upload.
  • When you apply for a job: name, phone, email, position, CV or profile link, referrer details (if any) and the information you choose to share.
  • When you browse the website: technical data such as pages viewed, time of visit, device, browser and referring source. Google Analytics records this only after you click “Accept” on the cookie notice.

We do not ask for sensitive personal data on this website. Please do not send ID numbers, bank details or health information through our forms.

3. Why we use your data

  • To answer your enquiry, prepare quotations, arrange samples and perform any contract we agree with you or your company.
  • To assess job applications and contact candidates.
  • To measure website traffic and improve our content.
  • To protect our forms from spam and abuse.

We process business-contact data because it is necessary to respond to your request and take steps before entering into a contract, and on the basis of our legitimate interest in running and developing our export business. Analytics cookies are used only with your consent. We do not use your data for targeted advertising and we never sell personal data.

4. How long we keep it

  • Quote requests and business contacts: for as long as needed to handle your request and our business relationship, and for any longer period required by accounting and tax laws. Requests that do not lead to business are deleted within 24 months.
  • Job applications: up to 24 months from receipt, or earlier if you ask us to delete them.
  • Google Analytics data: up to 14 months.

5. Who we share it with

Your data is accessed only by TQM staff who need it (export/sales team and management; HR for job applications). We use service providers to store and operate our systems: Google Workspace (email, file storage, Google Sheets), Google Analytics (traffic statistics), a form-to-Google-Sheets connector, Google reCAPTCHA (to protect our forms from spam; it analyses technical data such as IP address and browser behaviour under Google’s privacy policy), the website’s email delivery service and our website hosting provider, Tino Group Joint Stock Company (Ho Chi Minh City, Vietnam), whose servers are located in Vietnam. They process data on our instructions. We disclose data to public authorities only when legally required.

6. Where your data is stored and international transfers

Our data is stored on Google services operated by Google LLC, whose servers may be located outside Vietnam, including in the United States. We use these services only for the purposes in Section 3, protect access with role-based permissions and two-step verification, encrypt data in transit, and follow the requirements of Vietnamese law on cross-border transfers of personal data. Where we receive data from the European Economic Area or the United Kingdom, Google applies its standard contractual clauses to these transfers.

Tam Quang Minh is based in Vietnam, a country for which the European Commission has not adopted an adequacy decision. Enquiries from the European Economic Area or the United Kingdom are therefore handled by our team in Vietnam. This transfer is necessary to respond to your request and to take steps at your request before entering into a contract (Article 49(1)(b) GDPR).

7. Cookies

The website uses cookies that are necessary for it to work and, with your consent, Google Analytics cookies. You can click “Decline” or delete cookies in your browser at any time; the website will still work normally.

8. Your rights

You may ask to be informed about, access, correct, delete, restrict or object to the processing of your personal data, and withdraw consent at any time, in line with Vietnamese personal data protection law. If you are in the EEA or the UK, you also have the rights given by the GDPR, including data portability and the right to complain to your local data protection authority.

9. Security

We use appropriate technical and organisational measures: HTTPS encryption, two-step verification on accounts, limited access, and a website security plugin (Wordfence) that records IP addresses and login attempts in order to block attacks. If a personal data breach occurs, we will notify the persons and authorities concerned as required by law.

10. Changes to this policy

We may update this policy when the law or our activities change. The new version applies from the date it is published on this page. The Vietnamese version is available at tamquangminh.com/chinh-sach-bao-mat.
